## Worked example: Plan an expanding campus campaign

Consider a fictional graduate campaign with 1,500 intended completed assessments. At an illustrative $12 per completed test, the variable test charge is $18,000. If a comparable subscription costs S and includes the required assessment usage, that comparison becomes $18,000 plus the other provider’s fixed costs versus S plus any separately scoped services. Neither side is a quotation.

Ask what counts as a billable event. Invitations, starts, completions, retries, and follow-up tests are different units. A low quoted unit price is difficult to interpret until you know which events consume it. Also establish the period covered by the subscription and whether the environments or support you need are included.

Operational capacity is a separate calculation. If a reviewer spends an assumed ten minutes on each of 120 shortlisted submissions, the team needs 20 reviewer hours. Unlimited tests do not remove those hours. Schedule review capacity and candidate updates before expanding the invitation pool.

The useful purchase decision balances predictable platform costs with a purposeful candidate journey. If an additional test answers no new hiring question, remove it even when its marginal platform charge is zero.

## Working session

Enter your intended assessment volume in the calculator. Then write the three commercial details you still need before comparing providers.

## Avoid this mistake

Avoid claiming savings from test volume alone. You need comparable plan scope, real quotes, and the correct billing unit to calculate a defensible difference.
